Subject: Financial Aid – Work Study

Authorities:

Purpose:
To provide students with employment opportunities while serving the needs of the College.

Policy:
Work study positions will be available in those departments whose work has the most direct impact on the greatest number of students in an environment that adds value to the students’ education. Relevant federal and state regulations attached to the work study programs will be followed.

Procedure:
Students are notified in their financial aid award that they must contact the financial aid office if they choose to apply for a work-study position.
Eligible students who previously held positions are re-employed the following semester in their previous positions if their supervisors wants to retain them and the student chooses to return to the position.
Departments requesting work study employment complete a request before May 10th each academic year. Departments whose work impacts the most students will be the first to receive an assigned work study student (i.e. Student Services, Maintenance, Academic Skills Center). The list of requests from programs/departments will be reviewed by the Budget Committee and the Leadership Team to develop a final prioritized list.
A qualified student completes an application for employment and submits it to the financial aid department. The financial aid office determines the student’s financial need for work study. Need is determined by state and federal regulations; it is not a local decision.
A listing of available work study positions will be attached to the employment application or announced through postings or email. Students are advised to contact the supervisor listed and arrange for an interview for the position for which they are qualified.
The student interviews with the dept. supervisor. The supervisor accepts or denies the applicant based on the student’s qualifications and the position requirements.
The list of work study positions and the proposed departmental match from Student Affairs is reviewed by the Leadership committee the first week of fall semester. The Leadership Team will approve a final assignment list at that time.
Students hired are given the appropriate paperwork and are not permitted to begin their assignments until the paperwork is complete and on file in the business office. Students’ rate of pay is TBD and students are eligible for employment 10 hours per week. If the college determines a need for additional hours, those additional hours must be verified through the financial aid director in order to meet state and federal guidelines.

Responsibilities:
The college financial aid director is responsible for enforcing the federal and state guidelines as well as monitoring the eligibility of students in work study positions. Departments employing work-study students are responsible for their direct supervision.
