Purpose:
Due to the "tight" labor market, area companies are attempting to "grow
their own" technically skilled workers by training existing employees. These
employers expect training to progress in career ladder increments for
certificate, diploma, and degree awards. Employers also have significantly
different customer service demands than that of a traditional student. Often PTC
members must act as liaisons between a company contact and the college for
corporate based students.
Policy:
Pine Technical College will provide credit-based programs to employees
of organizations/corporations that contract with Pine Technical College for
these services. Programs and services are typically delivered at a site other
than Pine Technical College as requested by the client.
Procedure:
1 A Customized Training Representative (CTR) or designee makes the
initial contact with corporations for the purpose of conducting a general needs
assessment including distribution of general corporate credit information.
2 If credit delivery is an option of the client, the CTR or designee and the
Director of Customized Training consult with the VP of Academic Affairs or
designee and plan an informational meeting with the client representative.
3 The CTR or designee and/or Director of Customized Training and/or VP of
Academic Affairs leads and conducts a meeting with the client representative to
present credit and articulation options and to assist them in making an informed
decision relative to the credit delivery project.
4 The CTR or designee together with the VP of Academic Affairs or division chair
representing the area(s) of assessed needs, schedule and participate in a
follow-up meeting with the corporation to determine specific needs, if
necessary.
5 The CTR or designee and/or the Director of Customized Training resource the
delivery of corporate credit courses and communicate with the VP of Academic
Affairs as appropriate.
· Research and negotiate for instructional services
· Negotiate or arrive at rate of pay for instructor
6 The CTR or Designee and/or the Director of Customized Training develop and
deliver a proposal with input from Dean of Student Services for courses to be
offered at the corporation.
7 Client representative decides to proceed with the credit delivery project. CTR
or Designee informs Director of Customized Training and VP of Academic Affairs
of decision as indicated by the signing of the letter of commitment between the
corporation and Pine Technical College. The original goes to the Director of
Customized Training and copies to CTR or Designee, VP of Academic Affairs, and
Dean of Student Services. (Appendix A)
8 The CTR or designee or the Director of Customized Training gives notice of the
letter of commitment to the faculty/resource or appropriate division chair most
closely associated with the discipline(s) of interest to the corporation.
9 The Dean of Student Affairs assigns a Student Service Advisor to the project,
if not currently assigned.
10 The Corporate Credit Project Team is established: CTR or designee, Director
of Customized Training, VP of Academic Affairs, Student Service Advisor, Office
& Administrative Specialist (OAS), and the client representative. The lead of
the committee will be the CTR or designee. This team meets once at the onset of
the project and at predetermined times during the course of the project and once
at project conclusion. Meeting notes will be dispersed by the CTR or designee to
all participants.
11 The CTR or designee and/or the Director of Customized Training develops a
plan and a schedule for the delivery of the program in conjunction with the
Project Team.
· Evaluates student assessment and transfer data (provided by
Student Service Advisor ) to recommend course delivery proposal for the entire
program.
· Oversees the creation of program plans for students to
monitor progress
· Schedules developmental courses when required
· Orients new faculty needed for program course delivery
· Initiates weekly communication and provides Corporate
Credit activity summary on the master schedule
12 The Director of Customized Training, Student Service Advisor and client
representative schedules a Recruitment Session for on-site (company), potential
corporate students to deliver college program and course information. Individual
student advising appointments are scheduled at this time.

· Degree, diploma and certificate information
· Program plan information. Application process
· Assessment requirements
· Registration information (drop dates)
· Transfer credit process and timeline
· Information re: campus contacts
· Data privacy information
· Commitment required for college course work
· Learning services
· Proposed schedule of courses
· Financial Aid (if appropriate)
13 The CTR or designee conducts client/contract negotiation and gives to
Director of Customized Training for final signature to the contract. The client
contract signature is required typically 4 weeks in advance of the first class
date to allow sufficient preparation time. The original contract goes to the
Director of Customized Training. Copies are distributed to VP AA, Dean of
Student Services, and Dean of Administrative Services
14 The Student Service Advisor in cooperation with the CTR or designee assists
the client with the development and implementation of a course promotion plan.
15 After the contract is signed, the OAS:
· Routes the “Cost Sheet” to the Director of Customized
Training, VP of Academic Affairs, Accounts Receivable Office, and Dean of
Student Services. A copy is forwarded to the Student Service Advisor.
· Initiates Corporate Credit Information Sheet 4 weeks before
class dates
· Orders books and materials
· Receives the assignment schedule from faculty prior to each
course start
· Gives each instructor class start and end dates and the
policy withdrawal statement (withdrawal date obtained from Student Service
Advisor)
· Forwards the instructor packet to the instructor
16 The (OAS) enters course request into ISRS.
17 The assigned Student Service Advisor coordinates and delivers student
services to the corporate students:
· Sets up and administers basic skills assessment for
corporate employees
· Produces assessment results and forwards them to the
Customized Training Office for review and filing.
· Coordinates pre-registration schedule with client
representative and the CTR or designee.
· Conducts student registration.
· Explains and processes the following:
o Registration form
o Advanced standing form
o Personal Data Sheet
o Delivers registration and other
forms to the OAS
o Serves as liaison between college
and company contact
o Advises corporate
students--providing information, answer inquires and serving as a referral
source
o Posts class withdrawal dates and
notifies students
o Provides list of withdrawals and
adds to the OAS
o Reviews transcripts for transfer of
credits
o Monitors and reports program
progress as needed.
18 The OAS manages all Corporate College student working files:
· Receives corporate employee applications from the Student
Service Advisor, makes copies and sends originals to Admissions
· Sets up corporate student files and enters information into
student database
· Enters registration and other student information into
student database and hard copy into student file.
· Produces and delivers class lists to the CTR or designee
and the assigned Student Service Advisor and Dean of Administrative Services.
· Obtain mid-term grades (if applicable) and final grades
from instructors, enters in ISRS and files grades in term course filing.
· Delivers grade reports to students and advisors each term
(if applicable).
19 Official Corporate College student files are maintained in Student Service
Office.
20 The OAS provides student and course information to the Corporate Credit
Project Team as needed:
Maintains a master schedule of courses delivered to each
company.
Receives course evaluations
Tallies the evaluations and sends a copy to: the Director of
Customized Training, the CTR or Designee.
fulfills transcripts requests
